Pricing model
HR software with no annual contract
Capstan is HR software with no annual contract. You are billed monthly, in arrears, for the seats you actually use above the first twenty, which are free on every plan, and you can downgrade or leave at any time, with no prepaid term and no lock-in.
Every figure sits on the pricing page and nowhere else, because pricing is adjusted to your country and belongs in one place.
Does Capstan require an annual contract? No.
There is no annual contract, no prepaid quarter, half-year or year, and no renewal term to sign. This is month to month HR software: you pay for a month of use after that month has happened, and the arrangement continues only as long as you keep using it.
- No minimum term and no lock-in. Nothing binds you to a period you have not used.
- No prepaid cycles and no bulk discounts to talk you into one. Billing is simply monthly.
- No sales call and no quote to unlock the price. The number is public on the pricing page.
How does month-to-month billing work?
You are billed monthly, in arrears, per chargeable seat above the first twenty. The first twenty active people are free on every plan, the count is of people active at once, so someone who has left or is serving out notice does not use up a place, and only seats past that line are charged.
- Transparent monthly pricing: one per-seat figure, published in two currencies, with no line items to assemble.
- The price you start at is the price you keep. The price book is append-only, so a later rise reaches a future bill, never the seats you have already been billed for.
- A late invoice does not lock you out. Access runs through the grace period, warnings arrive first, and your export keeps working even after the door closes.
The reasoning behind charging this way, and never for withholding a feature, is set out in the manifesto.
Is the pricing usage-based?
Yes. This is usage-based HR software pricing: you pay for the seats you use, measured by the people active in your workspace above the first twenty, and the bill follows your headcount up and down rather than a number fixed at signup.
- Grow by ten people and the next monthly bill reflects ten more chargeable seats, one seat at a time.
- Shed people and the seats stop being charged, because the count is of who is active now, not who once was.
- No seat block to buy up front and no unused licences sitting on the invoice.
What happens if you shrink the team or leave?
You can cancel anytime, and shrinking costs you nothing you have not used. Drop below twenty-one active people and you are back on the free plan with the whole platform intact, or leave entirely and take everything with you.
- Downgrading to Free keeps all fourteen modules. Nothing is switched off and nothing is taken back.
- A one-click export in open formats is yours on the day you leave, whether or not you owe us money.
- That export keeps working even while a workspace is suspended, so a billing lapse never holds your data hostage.
What do you get on every plan?
Every plan, the free one included, carries the whole platform. There is no core-only tier and no module held back for a paid plan, so a no-lock-in HR platform here means the full product, not a stripped sample of it.
- The complete core HRIS: one directory for every employee and contractor, records, documents, self-service and reporting.
- All fourteen modules, from onboarding and leave to attendance, workflows and alumni access, with nothing sold module by module.
- The same feature set on the free plan and on a paid plan. A paid plan lifts one thing, the twenty-active-employee cap, and changes nothing about the software.
- A one-click export in open formats, yours whether or not you owe us anything, that keeps working even if a workspace is suspended.
It is free for teams of up to twenty people, with no time limit. How this compares to the tools you are probably weighing, built rather than priced, is on the comparison pages, and the case for moving at all is on why switch.
Where is the price?
The price lives on the pricing page, and only there, because it is adjusted by country and belongs in one honest place. It is published in two currencies as flat figures, with the per-seat rate, the free-plan cap and the billing shape all in the open.
- One per-seat price above the first twenty seats, billed monthly.
- Two currencies, US dollars and Indian rupees, with the one you are billed in following your billing country.
- Your data is region-served: today that is the EU, with data in Frankfurt and compute in Amsterdam.
Start free for up to twenty people, then pay monthly for the seats you use.
