HR software for Spain

Capstan is all-in-one HR software for a Spanish team. It is a complete core HRIS, free for up to twenty active people, with all fourteen modules on every plan, and it keeps the attendance record that sits behind the registro de jornada while your nomina stays with your gestoria.

Prices are adjusted by country and live on the pricing page alone. Outside India you are billed in US dollars; the figure is one link away and appears nowhere else on the site.

Is Capstan HR software for Spain? Yes.

Capstan works for a company in Madrid or Barcelona from the first hire. It is an HRMS and HRIS in one: a single directory for your people and contractors, records and documents, employee self-service, onboarding, leave, attendance and reporting, with a Spanish public-holiday set an administrator can import for the year in one click and then edit.

  • Free for teams of up to twenty active people, with no time limit, so a first Spanish hire and the next nineteen cost nothing.
  • An all-in-one HR platform rather than a core with paid add-ons: the full product from day one, on the free plan included.
  • Capstan is a system of record for people you employ and engage yourself. It is not an employer of record and never becomes the legal employer of your Spanish staff.

The structure of a Spanish hire, the contract types, the Seguridad Social contributions and the working-time rules, is set out in the guide to hiring employees in Spain.

The registro de jornada and your working-time record

Capstan keeps the attendance and working-time record, which is the kind of record a Spanish employer uses to meet the registro de jornada, the daily working-time obligation in force since 2019. The legal duty itself stays with the employer; Capstan holds the record, it does not certify it, file it, or decide whether your company is compliant.

  • Attendance and time are recorded on each person as part of the core, so the hours worked, leave and absences sit on one dated record rather than in a separate spreadsheet.
  • The obligation, the retention period and any certification required of the record are the employer's and the employer's advisers'. Capstan gives you the record to work from, not a compliance guarantee.
  • As the rules move toward digital working-time registration, a clean attendance record is a useful input for whatever your advisers put in place; it is not a substitute for their judgement.

How employee data sits under the GDPR, in plain terms, is in the GDPR and employee data guide.

Payroll runs through your gestoria

Your Spanish payroll runs through your gestoria or asesoria laboral, which is how most Spanish companies arrange it, and Capstan is built for exactly that handoff rather than against it. It is the system of record and inputs; the computation and the filing stay with your provider.

  • Capstan compiles pay structure, leave, attendance, overtime and changes into a documented export for your gestoria, then files the computed results back onto the employee record.
  • It holds no Seguridad Social or IRPF tables, produces no nomina, and makes no Sistema RED or IRPF filing with any authority. The computation and the filing are your gestoria's, by design.
  • In Spain preparing the inputs for a gestoria is the normal model, so the handoff reads as a fit rather than a gap, and a clean single source record is worth having on both sides of it.

Why payroll belongs with a partner and not inside the HR software is set out in this piece.

Where does your data live? In the EU.

Capstan runs from one self-contained region today, and that region is in the EU, with data resident in Frankfurt and compute in Amsterdam. Spain is served from there, so the residency line is EU, which is the answer most continental security reviews are looking for.

  • One region, one boundary: a self-contained stack with no global control plane and no cross-region keys, so there is no runtime path for your data to leave the EU.
  • We do not hand you a compliance badge. Your data lives in the EU, it is encrypted under per-tenant keys, and every sub-processor is listed and scoped to the region.
  • The data processing agreement is public, so you can read it before you sign rather than after.

How the region is built, and why a residency commitment is only real if it cannot be quietly changed, is on the security page, and the EU hosting cluster is set out on HR software with EU data residency.

What do you get on every plan?

Every plan, the free one included, carries the whole platform. There is no core-only tier and no module held back for a paid plan, so an all-in-one HR platform here means the full product for a Spanish team, not a stripped sample of it.

  • The complete core HRIS: one directory for every employee and contractor, with records, documents, self-service and reporting.
  • All fourteen modules, from onboarding and leave to attendance, workflows and alumni access, with nothing sold module by module.
  • The same feature set on the free plan and on a paid plan. A paid plan lifts one thing, the twenty-active-employee cap, and changes nothing about the software.
  • A Spanish public-holiday set an administrator can import for the year in one click and then edit, on a calendar that carries its own working week.
  • The product in English: the interface is English only, so a Spanish team and anyone managing it from abroad read the same screens. There is no Spanish-language version today, which is worth knowing before you commit.

What the platform covers is on the product page, and how it is built rather than priced against the tools you are probably weighing is on the comparison pages.

Where is the price, and how is it billed?

The price lives on the pricing page, and only there, because it is adjusted by country and belongs in one honest place. It is billed monthly, in arrears, per chargeable seat above the first twenty free, with no annual contract, no prepaid term and no lock-in.

  • One per-seat figure above the first twenty active people, billed monthly for the seats you actually use.
  • Outside India the currency is US dollars; the one you are billed in follows your billing country.
  • No minimum term, no renewal to sign, and downgrading to Free keeps all fourteen modules intact.

Start free for up to twenty people, with your data in the EU.
